About the role
We are looking for an experienced administration professional to join our high performing project team, based in our corporate head office at the Port of Brisbane. You will provide vital administrative support to the team, efficiently and autonomously implementing and managing key processes and documentation.
Key responsibilities
Drawing on your excellent communication and organisational skills, you will build positive relationships across project teams and stakeholders while providing leadership and guidance on administrative best practice. Responsibilities include:
- Processing and overseeing subcontractor monthly claims and related commercial documentation.
- Drafting, issuing and administering subcontractor agreements and contract documentation.
- Managing client invoicing, debtor follow-up and supporting cash flow outcomes across projects.
- Leading project documentation, drawing control and records management processes.
- Providing senior administrative support across multiple project teams and acting as a key point of contact for project administration matters.
- Monitoring and maintaining subcontractor insurance compliance and prequalification requirements.
- Supporting procurement, commercial and project controls processes to ensure compliance with company requirements.
- Driving consistency in project administration processes, systems and reporting.
- Mentoring and supporting Project Administrators and other project support staff.
- Identifying opportunities for process improvement and assisting with the implementation of business systems and administrative initiatives.
- Coordinating project audits, compliance activities and the maintenance of project records.
- Establishing and maintaining administration standards and best practice across projects and the broader business unit.
About you (Desirable)
- Civil construction industry experience
- Ability to review, analysis and report project documentation in an accurate and effective manner
- Experience using Docketbook, SharePoint and/or JobPac software applications, and the Microsoft Office suite.
