About the role

As the Family Office Coordinator, you will work closely with the Manager to ensure that the day-to-day operations of the office for the Private Family Office are managed with precision, transparency, and care. This position is based in our Manly office and is permanent full time, 5 days a week. You will act as the primary point of contact for all family office related matters. Given the private nature of this position, the successful candidate must demonstrate the highest standards of confidentiality, discretion and professionalism. 

Your responsibilities will include:

  • Managing the families' sporting investments including emails, maintaining and creating spreadsheets, loading invoices, insurances, memorial photographs, and preparing a monthly newsletter

  • Managing the families' shares including maintaining records using spreadsheets, coordinating purchase of new shares, maintaining shares register and preparing a monthly newsletter.

  • Preparing a Monthly Investment Newsletter including listed and unlisted share investments 

  • Preparing a Monthly Property Report including updates on Property Development and Sales

  • Maintaining ASIC correspondence and company folders

  • Archiving all family entity records in accordance with family office procedures

  • Making sure all registrations, memberships, servicing, and insurances are up to date for the family office vehicles and other assets

  • Maintaining registers of the family ID documents and ensuring copies of all ID documents are filed and certified

  • Preparing information packs for the monthly family meetings 

  • Obtaining supporting documentation required as identified by the private family office accountants.

  • Assisting with obtaining receipts and identification of all expenditure for the family trust in accordance with family office policy

  • Assisting with keeping records and prepare bi-annual reports of the family primary residences costs for tax and other purposes 

To be successful in this role, you will need

  • High attention to detail
  • The ability to self-motivate, work autonomously and problem solve in a highly efficient manner
  • The ability to handle sensitive family, financial and investment information in strict confidence at all times
  • Strong computer skills, particularly with the Microsoft Office suite (Word, Excel and Outlook)
  • Experience using Sharesight, MYOB and Canva would be advantageous
  • Strong organisational and multitasking skills
  • Excellent verbal and written communication skills
  • A commitment to a high work standard and work ethic
