The Role

The Marketing Operations Administrator role combines administration, financial coordination and operational support to assist the delivery of marketing campaigns, events and digital communications.

Reporting to the Marketing Manager and working alongside two experienced Marketing Coordinators, this role provides the administrative and operational support that underpins the team's day-to-day success.

 Responsibilities include:

  • Financial & Accounts Administration:  Process marketing invoices, assist with vendor administration, track project expenditure and support budget reconciliation activities. Coordinate creditor account setup and onboarding requirements, and maintain supplier records and relationships.
  • Reporting & Compliance: Support the preparation of regular performance marketing reports, ensuring information is accurately recorded, validated and ready for distribution.
  • Campaign Support: Act as a central operational liaison for the team by taking direction from Marketing Coordinators to send creative feedback and revisions to creative agencies, printers, and signage suppliers. Help manage production workflows, coordinate proofing and file transfers, and liaise with sales teams to ensure marketing materials, signage, and brochures are delivered to sites on time.
  • Digital & Online Support: Assist with website content updates, online property listings, email communications and the compilation and scheduling of monthly organic social media content to support project marketing activities.
  • Data & Systems Administration: Maintain project records, marketing databases and supporting systems, ensuring information remains accurate and up to date.
  • Event Coordination: Assist with the planning and coordination of community events, project launches, stakeholder functions and business events across multiple regions, ensuring activities are delivered efficiently and professionally.
  • Office & Team Support: Provide administrative and operational support across a broad range of marketing and business initiatives, including document management and general coordination activities that support the effectiveness of the team.

About You

  • Previous experience in administration, accounts admin, or office support, seeking a stable, long-term role where you can become an integral, trusted member of the team.
  • Exceptional time management skills with genuine pride in keeping systems accurate, data/reporting precise, and administrative processes running like clockwork behind the scenes.
  • Practical experience with digital software and online tools, with the proven ability to adapt to new systems quickly. Backed by strong Microsoft Office skills (especially Excel, Word, and PowerPoint). Exposure to Adobe Creative tools or willingness to learn
  • A self-motivated team player with strong communication skills who takes ownership of tasks, handles competing priorities seamlessly, and enjoys supporting broader team success.
  • An interest in reporting, data management, maintaining accurate business records, and taking satisfaction in keeping operations structured and efficient.
  • You find satisfaction in keeping things accurate, organised, and running like clockwork behind the scenes.
  • Relevant qualification in Business, Administration, Marketing or a related discipline will be highly regarded.
